Koh Samui Travel - Villa Booking Terms & ConditionsThese Booking Conditions form the basis of your contract with us so please read them carefully. Nothing in these Booking Conditions affects your normal statutory rights. (A copy will be sent with the Booking Form to sign and return). Please note: The booking contract is made between Koh Samui Travel and the holiday accommodation of your choice within the Villa Booking Section of www.koh-samui.travel , known as ‘we’, ‘us’ and ‘our’ in these booking Terms and Conditions. Any references mad to ‘you’ or ‘your’ are to the person making the booking and any members of the party due to holiday in the accommodation. Booking your holiday accommodationWhen you book your holiday accommodation with Koh Samui Travel, you must return (via email) the booking form, together with the required 25 % deposit, to secure the booking reservation. Your booking is made as a consumer for the purpose of a holiday and you acknowledge that no liability can be accepted for any business losses howsoever suffered or incurred by you. Once the completed booking form and the initial deposit have been received and accepted by us, we will issue you with our written confirmation, again via email. The contract between us will only be formed when we send you our written confirmation and is subject to these terms and conditions. We reserve the right to refuse any booking prior to the issue of our written confirmation. If we do this we will promptly refund any money you have paid to us. Please note: You should carefully check the details of our written confirmation and inform us immediately of any errors or omissions. We would advise that you acknowledge receipt of the written confirmation. Payment processIf the booking is made within eight weeks of the letting, the whole of the rental payment is to be forwarded with your booking form. If the booking is made prior to eight weeks of arrival date, a 25% deposit is to be forwarded with your booking form. The remaining balance (and security deposit, if applicable) is then due at least at least eight weeks prior to the arrival date as set out in our written confirmation. If applicable the security deposit will be returned within 10 days of departure, less any deductions in accordance with these Terms and Conditions. Cancellation or changes to your bookingIf you need to cancel or amend your booking you must telephone us on the number shown on our written confirmation as soon as possible. You will also be required to confirm your cancellation by email, to the addresses shown on our written confirmation. A cancellation will not take effect until we receive written confirmation from you. If you cancel your booking within seven days of receiving our written confirmation, we will refund the balance of any money you have paid us. After that, if you cancel your booking more than eight weeks prior to the arrival date, we will retain the 25% deposit and refund the balance of any money you have paid to us. If you cancel your booking less than eight weeks prior to the arrival date, we reserve the right to retain the 25% deposit and also reserves the right to retain the rental balance, should it not be possible to re-let the property for this period. All efforts will be made to secure another booking for the property. If we cancel or amend your bookingChanges to bookings are extremely rare and we would not expect it, but if these exceptional circumstances do occur, we will contact you as soon as possible and inform you of the problem with your booking and if the situation is that we have to cancel your booking, we will of course refund the balance of any money you have paid to us. Check in/check out and arrival delaysYou can arrive at your holiday accommodation after 16.00 hours on the arrival date of your holiday and you must leave by 12.00 hours on the departure date. Alternative check in and check out times can be arranged with the villa owner. Should your arrival at your destination be delayed for any reason, it is extremely important that you inform the contact person given on your booking confirmation, in order for alternative arrangements to be made. If you do not do this, it may result in you not being able to gain access to the property. If you fail to arrive by midday on the day after the arrival date and you do not advise the contact of your anticipated late arrival we may treat the booking as having been cancelled by you. ObligationsYou agree to comply with these Terms and Conditions and any other handbooks provided by the accommodation owners and ensure that they are observed by all members of your party. You agree to keep and leave the property and the furnishings, kitchen equipment, crockery, glasses, clean and in good condition. You agree not to cause any damage to the walls, doors or windows of the property nor to do anything that may be reasonably considered to cause a nuisance or annoyance to us or to any other occupier of adjoining or neighbouring properties. You agree to take all necessary steps to safeguard your personal property. You agree to ensure that each member of your party is covered by comprehensive travel insurance (including cancellation, flight delays, loss and damage to baggage and other property) and health insurance (including evacuation and repatriation coverage). Unless otherwise stated, the rental of the property includes, rates, insurance of the property, and electricity. The property is equipped with crockery, cutlery, sheets, blankets or duvets, and adequate cleaning materials for your stay. Linen and Towels will also be included, unless stated otherwise. You cannot allow more people to stay in the property than expressly authorised, nor can you significantly change the makeup of the party during your stay in the property, nor can you take your pet into the property unless it has been arranged in advance and it is shown on your confirmation. If you do so, we can refuse to hand over the property to you, or can require you to leave it. We will treat any of these circumstances as a cancellation of the booking by you. You agree to allow us or any representative of ours access at any reasonable time during your stay for the purpose of essential repairs. You are asked to leave the property clean and tidy and to ensure that you take all belongings with you. On change over days there is only time for a superficial check and a general clean. We rely on the goodwill of our guests whose co-operation we greatly appreciate. Should the property be left on poor condition, require a more intensive clean, and then this will be charged at 10 GBP per hour. ComplaintsEvery effort has been made to ensure that you have an enjoyable and memorable holiday. If however, you have any cause for complaint it is important that remedial action is taken as soon as possible. It is essential that you contact the person named on your booking confirmation, if any problem arises so that it can be speedily resolved. It is often extremely difficult (and sometimes impossible) to resolve difficulties properly unless promptly notified. Discussion of any criticisms with the property whilst you are in residence will usually enable shortcomings to be rectified straightaway. In particular, complaints of a transient nature (for example, regarding preparation or heating of the property) cannot possibly be investigated unless registered whilst you are in residence. If any complaint cannot be resolved during your holiday, you must write to the contact named on the booking confirmation with full details within 28 days of the end of it. Acceptance of terms and conditionsAccepting the property will be deemed as acceptance of these Terms and Conditions. |
